New Year….  New You…..  New Club!!!!

It’s that time of year again ladies, February is election month for SAAMOM, and we would LOVE to see new faces volunteering for the upcoming 2019-2020 club year.  YES, the meeting this month falls on Valentine’s Day, but that doesn’t mean you can’t volunteer.  So, if you are feeling compelled to volunteer, but already have plans with your partner, please feel free to email membership@saamom.org and we will put your name in on voting day.  If you don’t already have plans, then come hang out with your fellow MoMs on Valentine’s Day for food and drinks (food is TBD). 

Below you will find a list of the positions on the SAAMOM board and committee.

List of Volunteer Positions

The Executive Committee consist of the following elected officers:  President, 1st Vice President of Programs, 2nd Vice President of Membership, 3rd Vice President of MoM2MoM, Secretary, Treasurer, Newsletter Editor, Webmaster, CAES Chair-mom, Parties & Events Chair-mom, and Advisor.  The Standing Committee shall consist of the following:  CAES Committee, Parties and Events Committee, Bereavement/Counseling Chair-mom, NICU Support/Helping Hands Chair-mom, Hospitality Chair-mom, Refreshments Chair-mom, Moms Night Out Chair-mom, SuperTwins Moms Night Out Chair-mom, Dad’s Night Out Chair-dad, Family Night Out Chair-mom, Babies Playgroup Chair-mom, Toddler Playgroup Chair-mom, Fun After Five Chair-mom, Publicity Chair-mom, Facebook Chair-mom, Ways and Means/Corporate Donations Chair-mom, Nominating Committee Chair-mom, State/National Representative Chair-mom, Convention Chair-mom, Librarian Chair-mom and Historian Chair-mom.

Executive Board

The President shall be Chair of the Executive Committee and shall not vote except in the case of a tie; shall preside at all meetings of the Executive Committee; shall appoint all standing committee chairs; shall appoint all special committee chairs; shall call special meetings of the Executive Committee; shall be an ex-officio member of all committees except nominating; shall assist any officer or chair in need; and shall perform other duties designated by the Board.  The President shall also be responsible for submitting the following each year to NOMOTC by February 1;  (1) authorization letter for annual reporting that is prepared by the Secretary; (2) any changes in purpose, character or method of operation; (3) any name and/or address change; and (4) annual financial statement that is prepared by the Treasurer.

The 1st Vice President of Programs shall assume the duties of the President in her absence; shall be in charge of the general monthly meeting programs; shall arrange for the location of the general monthly meeting; shall organize the topic for monthly general meetings and arrange any corresponding speakers, materials, etc.; shall arrange to provide dinner and beverages for attending members; and shall perform other duties designated by the President and/or the Board.

The 2nd Vice President of Membership shall assume the duties of President in the absence of the President and 1st Vice President; shall serve as Nominating Chair-mom; shall be responsible for keeping all data on members up to date,  notifying the appropriate officers of any changes; shall receive all membership dues and forms; shall provide membership lists as required by TMOM and NMOTC; shall welcome members and guests to General Meetings; shall provide name tags for members for use at General Meetings and other functions; shall contact and distribute materials to prospective new members in coordination with MoM2MoM chair-mom; and shall perform other duties designated by the President and/or the Board.

3rd Vice President of MoM2MoM shall assume the duties of President in the absence of the President, 1st Vice President Programs, and 2nd Vice President Membership; shall be responsible for conducting and overseeing the activities of the MoM2MoM program, including providing support and offering advice concerning multiple pregnancy, birth, and infancy; shall offer information about the club and club activities to New and Expectant MoMs; shall provide all necessary and updated information on prospective members to 2nd Vice President of Membership and Newsletter Editor; shall track and report births to the general membership; shall provide expectant and new MOMs with information on club activities; shall keep the Webmaster up to date on MoM2MoM activities; shall match new club members with appropriate Big Sisters who will offer advice and support on being a Mother of Multiples and share club activity and group information; shall organize New and Expectant MoM meetings held prior to each General Meeting; and shall perform other duties designated by the President and/or the Board. This position may be broken into two categories (Twins and SuperTwins) with two people sharing the duties.

The Secretary shall keep a true record of all the Executive Committee meetings;  shall make records available for reference at all general meetings; shall have custody of the by-laws, stationary, original emblem, and business cards; shall write all business correspondence deemed necessary by the President and/or Executive Committee; shall be responsible for preparing an Authorization Letter for Annual Reporting (for NOMOTC) for review and signature of the President, which is due by the October board meeting of each year; shall act as scholarship liaison between applicant and proposing to board (in anonymity and confidentiality); and shall perform other duties designated by the President and/or the Board.

The Treasurer shall collect all monies; shall have custody of all funds of the club; shall deposit all monies in the name and credit of the club with such depository; shall make disbursements designated by the Executive Committee; shall be authorized to sign all checks on the account; shall make a monthly financial report to the club; shall make a monthly financial report at Executive Committee meetings; shall have books available for inspection and audit at any time by any member; shall deliver all funds in her keeping when so directed by the President or the Executive Committee to her successor;  shall prepare a financial report at the end of each fiscal year with recommendations for financial disbursements for the succeeding year for approval by the Executive Committee, for publication in the newsletter and for voting at a general meeting in advance of expenditure; shall be responsible for preparing an annual financial statement for the fiscal accounting year April 1 through March 31 due for review by the Executive Committee during the January board meeting and due for submittal to NOMOTC by February 1; and shall perform other duties designated by the President and/or Board.

The Newsletter Editor shall be responsible for collecting Board members’ and chairs’ written reports, for collecting members’ articles and notes, editing, and distributing the club newsletter.  Distribution should include the current membership, prospective members (upon request), NOMOTC district reporter, TMOM members as requested, and all advertisers and promoters (upon request); shall be responsible for submitting the monthly newsletter to the Webmaster; and shall perform other duties designated by the President and/or Board.  Any number of co-editors may be appointed by the Editor with board approval.

Webmaster shall design and maintain the club web site; shall maintain current e-mail directory of club members; shall ensure the links from the TMOM and NOMOTC web-sites are current; and shall receive and post the monthly newsletter from the Newsletter Editor; and shall perform other duties designated by the President and/or Board.  Any number of co-web-masters may be appointed by the Webmaster with board approval.

The CAES Chair-mom shall oversee the activities of the CAES Committee and shall assume the responsibilities of the duties in their absence; shall organize the semi-annual children’s sale; shall arrange for location, advertising, signs, and insurance if needed; shall schedule set-up and take-down; shall assist with money distribution (in conjunction with the Treasurer); and other activities of the CAES as necessary; and shall perform other duties designated by the President and/or Board. 

The Parties and Events Chair-mom shall oversee the activities of the Parties and Events Committee and shall assume the responsibilities of the duties in their absence; shall organize the Family Fun Spring/Summer Picnic, Children’s Holiday Party, and any other social function as approved by the Executive Committee; shall be responsible for storing and keeping an updated inventory of all party  supplies; shall be responsible for purchasing and maintaining the party supplies while staying within the pre-approved budget; and shall perform other duties designated by the President and/or Board. 

The Advisor must have previously been an elected officer; shall be available to any officer, Chair-mom, committee or member regarding operating procedures; shall be responsible for maintaining Parliamentary Procedures during all business meetings; and shall perform other duties designated by the President and/or Board.

Standing Committee

CAES Committee shall work with CAES Chair-mom regarding the bi-annual CAES sales and shall assume the responsibilities of the duties in her absence; shall help organize the semi-annual children’s sale; shall help arrange for location; shall help with advertising; shall help with the posting of signs; shall help with the set-up and take-down; shall help with the money distribution (in conjunction with the Treasurer); and other duties as assigned by the CAES Chair-mom. 

Parties and Events Committee shall work with the Parties and Events Chair-mom regarding the club parties and events and shall assume the responsibilities of the duties in her absence; shall help organize the Family Fun Spring/Summer Picnic, Children’s Holiday Party, and any other social function as approved by the Executive Committee; shall assist with storing and keeping updated inventory of all supplies; shall assist with purchasing and maintaining the party supplies while staying within the pre-approved budget.

Bereavement/Counseling Chair-mom shall provide emotional support to members and prospective members in the event of illness, death, or other family crisis.

Helping Hands / NICU Support Chair-mom shall submit applications to the Executive Committee and oversee the distribution of club allocated assets to non-members with multiples or to a charitable agency. Shall also coordinate any help needed to club members; and shall provide emotional support to members and prospective members who have babies in the Neonatal Intensive Care Unit.

Hospitality Chair-mom shall welcome all attendees, guests, visitors and new members to the general meetings; and shall be responsible for the guest book and name-tags.

Refreshments Chair-mom shall work with the 1st Vice President of Programs to obtain refreshments and paper supplies for the general meetings and other functions as needed.

Mom’s Night Out Chair-mom shall coordinate Mom’s Night Out information and activities and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts.  This position may be broken into two or more categories, caring for different parts of the city, with two or more people sharing the responsibilities.

SuperTwins Mom’s Night Out Chair-mom shall coordinate SuperTwins Mom’s Night Out information and activities for MoMs of higher order multiples and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the even via email and Facebook posts.

Dad’s Night Out Chair-dad shall coordinate Dad’s Night Out information and activities and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts.

Family Night Out Chair-mom shall coordinate Family Night Out information and activities and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts.

Babies Playgroup Chair-mom shall organize and plan playgroup activities for children ages 0-18 months and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts. 

Toddler Playgroup Chair-mom shall organize and plan playgroup activities for children ages 18 months-5 4 years and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts. 

Fun After Five Chair-mom shall organize and plan playgroup activities for children ages 5 years and older and provide the Newsletter Editor with details of events, create the event on the SAAMOM website and inform members of the event via email and Facebook posts.

Publicity Chair-mom shall ensure printed information (business cards, pamphlets, fliers, etc.) are current and up-to-date; shall submit info on the club, details of club activities, and news of meetings and functions to local newspapers, radio stations and television stations; shall provide hospitals, physicians and child care facilities with printed information on the club; and shall keep a collection of submitted items to enter in the State publicity contest for convention.

Social Media Chair-mom shall add members in good standing to all active, private SAAMOM; shall remove those no longer in good standing; shall ensure posts and comments stay in-line with SAAMOM Code of Conduct and other posted guidelines; and moderate any problems that arise on the pages.

Ways and Means / Corporate Donations Chair-mom shall be in charge of fund raising projects for the club with the choices of projects being decided on in conjunction with the Executive Committee; shall have an open budget but must have Executive Committee approval on all expenditures; shall collect all fundraiser money and/or materials; shall set deadlines for each fundraiser; and in the event the deadlines are not met, the responsibility becomes that of the entire Executive Committee; shall store and bring all sale items to General Meetings and other functions as necessary. Shall also be in charge of obtaining donations from businesses and individuals for club allocation and distribution; and shall send donation thank you letters and contribution tax letters.

Nominating Chair-mom shall be the 2nd Vice President of Membership and other committee members appointed by the Executive Committee as needed; shall submit a slate of nominees to the general membership in the February newsletter; and shall conduct the club elections detailed in Article VI.

State/ National Representative Chair-mom shall report all activities of TMOM to the President, Executive Committee, Standing Committee Chair-moms and club members as applicable; shall submit regular reports to TMOM for the state newsletter; and shall handle all State and National Convention business. Shall report all activities of NOMOTC to the President, Executive Committee, Standing Committee Chair-moms and club members as applicable; and shall submit regular reports to the NOMOTC District Reporter for the national newsletter (including deceased members and/or their immediate families).

Convention Chair-mom shall be someone who has attended at least one (1) TMOM Convention; shall coordinate and organize all state convention activities and functions; shall provide convention information to the general membership; shall coordinate details for the following activities:  convention fundraisers, outfits/t-shirts, name tags, sales room items, sales room work schedule, sales room totals and expenses, and convention bank account.

Librarian / Historian Chair-mom shall keep members informed of books and articles that can be used as a resource by submitting articles to the Newsletter Editor, adding them to the website, or posting them on the club’s social media pages; shall keep records of all club activities in a scrapbook or online album from photographs taken at all club events ensuring club member’s permission is granted before posting photographs.  Any club member or club event covered in other newsletters and local newspapers should be maintained in club album.
